  • Health Coaches: provide excellent support by assisting patients with lifestyle and behavioral changes, helping them stay committed to their wellness goals.
  • Physical Therapists (PTs): help patients improve mobility and manage pain through targeted exercises and therapies.
  • Nurses: provide patient care and support throughout treatment plans, and may provide medical interventions such as IV therapy, injections, or other medical procedures. 
  • Medical Assistants (MAs): perform clinical and administrative tasks to support healthcare providers, ensuring smooth clinic operations. MAs may help on the clinical side with collecting vitals and beginning the patient intake process, and on the administrative side, with room changeovers, charting and filing, and directing patients inside the clinic. 

Administrative Staff

Administrative staff are essential to smooth daily operations of your clinic. These roles may include:

  • Receptionists: manage patient scheduling, greet patients, and handle initial inquiries, creating a welcoming environment.
  • Billing Specialists: handle medical billing and coding, ensuring accurate and timely reimbursements from insurance companies. Billing specialists are essential to guide patients through the process of funding their functional medicine journey by answering important questions about insurance coverage and payment plans. 
  • Office Managers: oversee daily administrative operations and manage staff, ensuring that the clinic runs efficiently.
  • IT Support: manage electronic health records (EHR), practice management software, and other technology systems, ensuring that all systems function smoothly.
  • Human Resources (HR) Personnel: manage hiring, training, and employee relations, fostering a positive and productive work environment.

  • What do you want your patients to experience? Get crystal clear on the exact health transformation you want your patients to experience: managing type 2 diabetes, banishing fatigue and brain fog, overcoming PCOS are examples.
  • Who will support patients in their healing journey? Health coaches are often employed to guide patients through their wellness plans.
  • Who can help patients when they have questions about their treatment plan? Administrative staff, PAs, and nurses can potentially assist with treatment-related inquiries.
  • Who will oversee billing and address any patient questions? Billing specialists will handle inquiries about costs, billing, and insurance reimbursements, which is important since functional medicine often involves out-of-pocket expenses.
  • Additional Considerations: identify other roles necessary in your practice, such as IT support for managing telehealth services or lab technicians for handling specialized tests.

Needs Assessment

Once you know what you want to offer and the roles you require, conducting a needs assessment will identify training gaps and areas for improvement within your staff. 

Use tools like surveys, interviews, and performance reviews to assess staff competencies and training needs. You’ll use this information to set training objectives to prepare your staff to provide quality medical care.

Setting Training Objectives

Establishing clear and measurable training objectives is essential for a successful training program. Common protocols include:

  • Understanding HIPAA Compliance in a Team-Based Care Approach: ensure all staff understand privacy laws and how they apply within a collaborative environment.
  • Defining Roles in the Care Process: clarify each staff member’s role and when to reach out to team members for support in patient care.
